Title: Events and Sponsorship Manager
Reports to: Director of Development
Salary: $55,000-$65,000 DOE
Overview: The Events and Sponsorship Manager serves as the primary contact and lead for Phoenix Family’s annual fundraising event and will develop and implement additional complementary events. Working closely with the Director of Development, the Events and Sponsorship Manager is a revenue generating position that oversees the planning, execution and drive the fundraising plans for reaching the event’s financial goals, playing a key role Phoenix Family’s annual development efforts. This position requires a love of non-profit special events, creativity, attention to detail, computer skills, and the ability to prioritize tasks when faced with multiple overlapping tasks.
MAJOR JOB TASKS AND RESPONSIBILITIES:Event Management: Oversees all aspects of event planning and management of assigned internal and external events, meeting strict deadlines and budget demands. Specializes in managing elevated fundraising events. Works closely with volunteer committees, and a variety of internal and external vendors or stakeholders. Develops and implements additional large and small fundraising events throughout the year in conjunction with the Development team.
Fiscal Management: Responsible for appropriate fiscal management of a robust, strategy-driven elevated events calendar. Manages expenses and revenue to ensure alignment with fundraising goals and net profit expectations.
Event Planning: Organizes all details for the event including logistics, food service planning, entertainment, décor, and staffing. Working with the Director of Development is instrumental in evolving and refining processes for efficacy and efficiency. Creates (or oversees the creation of) all event related materials, both print and electronic. Coordinate silent and live auction for Phoenix Family’s (Un)Gala, including soliciting of both live and silent auction items. Manages event registration and ticket sales.
Committee Management: Coordinates and participates in event committee meetings, including recording and distributing detailed minutes. Communicates needs and expectations to internal and external stakeholders, teams, and contributors. Manages important relationships with key donors, committee members and organizers as they relate to events.
Sponsorship Development: Identifies, cultivates, and secures fiscal and/or in-kind sponsorship opportunities from corporations and other potential community partners. Develops comprehensive and compelling sponsorship packages and proposals tailored to the needs and interests of prospective sponsors. Manages the fulfillment process for event sponsors and serves as the main point of contact. Works with volunteer committees to manage and lead volunteer sponsorship solicitation.
Knowledge Management: Develops the necessary systems, processes, and tools to better support the facilitation of assigned events and projects. Responsible for managing CRM for event sponsors, contacts, and donations. Monitors the effectiveness and results of the event/project and plan adjustments, including theme/vision, budget control, supplementary meetings, and auxiliary events.
Assists the Director of Development and Development Teammates with other special projects as requested.
PREFERRED QUALIFICATIONS:Experience: Three to five years’ experience in events management or comparable work experience, preferably working for a non-profit. Candidates must have experience in fund development work, sponsorship experience preferred. Salesforce or other database experience required, Airtable, Classy, and Classy Live experience desired. Experience working with vendors, including negotiating and managing contracts.
Skills: Successful applicants will be highly organized and experienced with managing deliverables. They will demonstrate the ability to develop strong working relationships with donors, volunteers, staff, and community partners. Proficiency in Microsoft Office and CRMs are required. The ability to establish priorities and manage timelines effectively is essential.
Special Requirements: Ability and willingness to work occasional weekends, evenings, as needed.
Work Hours: This is a full-time position, primarily in-office. Occasional evening and weekend work may be required as job duties demand.
Travel: Occasional travel throughout the Kansas City metropolitan area with mileage reimbursement.
