Job Description
Responsible for the overall execution, management, and coordination of UNLV Health practice site’s goals and objectives. Plans, directs, and implements processes to achieve operational efficiency, cost effectiveness, and delivery of high-quality patient-centered care. Collaborates on financial, productivity and quality performance issues. In conjunction with the Executive Director of Clinical Operations, Department Chair, Financial Administrator, and faculty, develops plans and leads implementation to improve performance as necessary. Functions effectively in a Matrix Management environment, serving as the administrative liaison between faculty, division chiefs, medical school departments, hospital, university, and practice plan executive administration as it relates to the faculty practice plan. Ability to engage multi-disciplinary teams and cross-functional departments to accomplish goals by influencing, motivating and enabling others to contribute toward the organization’s success. Expected to lead by example and follow all policies and procedures while promoting a positive and safe work environment.

MAJOR RESPONSIBILITIES
Clinical Practice Management and Quality
- Responsible for oversight of all operations, leadership in staff meetings and special projects. While working in collaboration with the Executive Director of Clinical Operations.
- Leads and directs clinical and administrative staff to perform day-to-day activities. This includes oversight of schedules and assignment of staff duties.
- Direct oversight and audit of timely patient medical request follow up including lab services, referrals, scanned reports, faxes, and authorizations.
- Productivity measures including but not limited to:
- Cox Call Center Data
- Practitioners’ schedules (cFTE’s vs. wRVU’s)
- Patient Experience (Press Ganey) Improve overall satisfaction through improved trends and overall comments.
- Quality improvement projects to decrease the overall clinic no show & cancellation rate.
- Responsibility of infection control monitoring/auditing of infection control processes
- Fully responsible for creating performance improvement initiatives of the quality metrics.
- such as the ACO, HEDIS, and all other contracted insurance payers as evidenced by increased compliance of closed care gaps. Understanding, implementing and embracing quality with an emphasis on fiscal responsibility.
- Oversees maintenance, appearance, and usability of physical space, and recommends space planning measures and improvement of clinic space including contingency planning for emergencies and maximizing all clinical space for patient care.
- Direct oversight and understanding of the referral process. Follows the standardized process as outlined by the practice plan.
- Ensures practice compliance with all regulatory agencies governing health care delivery and the rules of accrediting bodies.
- Effectively plans for the maintenance and replacement of essential equipment for the department clinic(s) keeping the Executive Director of Clinical Operations informed of any/all equipment purchases/needs this includes purchases that will be considered on the School of Medicine.
- Implements strategies to improve communications between the faculty practice plan and community hospitals to ensure the appropriateness and timeliness of patient care.
Staff/ Administration
- Responsible for interviewing, onboarding (orientation checklist, 30, 60, 90-day review, preceptor assignment, daily assignment sheet), supervision, and evaluation of employees as it relates to the practice plan.
- Implements methods to increase staff productivity with the department clinic(s)
- Facilitate resolution process for any medical-administrative problems and keep lines of communication open with staff to ensure high employee morale and a professional, healthy practice atmosphere.
- Collaboratively establishes realistic, measurable, developmental goals and objectives.
- Utilizes coaching, performance feedback, and progressive disciplinary action processes to address staff performance and behavior issues in a timely manner.
- Tracking attendance/FMLA use
Fiscal Management
- Responsible for achieving the department's financial targets.
- Oversees and is responsible and accountable for inventory of all physical, fixed, and financial assets of the department.
- Ensures contract compliance, and revenues are received in accordance to contract guidelines.
- Works with Revenue Cycle Department to ensure benchmarks are met in areas of charge lag days, missing charges, edits, work queues, denials, and other metrics as identified.
- Develops strategies to maximize efficiency and ensure cost containment.
- Collaborates with Finance/Executive Director of Clinical Operations in developing department clinic(s) budget to include forecasting of patient volume, no show/cancellation rate, contractual changes, capital expenditures, and requesting additional services.
- In conjunction with procurement, effectively plans, allocates, and monitors acquisition of supplies, services, and capital resources for the department clinic(s).

- Includes Executive Director of Clinical Operations in all dotted line reporting roles.
- Ensures employees are educated in the organizations and department’s policies, procedures and guidelines.
- Implements specific work projects assigned by leadership.
- Conduct monthly staff meetings that should include documented minutes and presentations to be placed in the shared drive
- Performs other duties as assigned.
Education, Licenses, Certifications, Experience and Requirements
- Master’s Degree Preferred
- Bachelor’s degree or 5 years healthcare experience with AAPC Certified Physician Practice Manager (CPPM) certification. Must acquire CPPM certification within the first 12 months of employment.
- Five (5) years of healthcare management experience Experience within an academic, public health or managed care setting is a plus.
- Bilingual Spanish is a plus. Demonstrated ability to use a computer with Word, Excel, Google software ability.
- Valid and current driver’s license.
- Flexibility with work assignments and hours.
- Current BLS within 90 days of employment
KNOWLEDGE, SKILLS, AND ABILITIES
- Lead by example, dealing with others in a professional manner. Must possess excellent verbal, written, and presentation communication skills.
- Strong leadership skills to motivate and engage staff to achieve department goals and deliver excellent customer service.
- Skills for management of personnel resources – developing staff and offering constructive feedback to improve performance.
- Ability to read and analyze a profit and loss statement.
- Application of business principles involved in planning, resource allocation, human resource concepts, operations, policies and procedures.
- Knowledge and application of Practice Management and EMR systems. Experience with EPIC is a plus.
- Knowledge of Human Resources rules and regulations, and privacy, Medicare, Medicaid, and insurance laws.
- Application of insurance industry and billing practices.
- Application of cash handling policies and procedures.
- Ability to maintain confidentiality.
- Ability to travel to various locations.
