Job Description

Branch Administrator is the primary liaison throughout the branch assisting the Branch Manager, Service and Operations departments, our customers, and our employees. Their duties cover a multitude of areas including collections, lien releases, customer assistance, employee support, invoices and much more.

Essential Functions

  • Responsible for collection calls and managing accounts taking payments.
  • Daily monitoring of impending liens and notice of Non-Payments
  • Preparation of filing of liens and Notice of Non-payment as appropriate
  • Identifying customer disputes and working with the Synergy Equipment Team to resolve
  • Must communicate and follow up effectively with Branch Managers regarding customer accounts on a timely basis.
  • Assist customers with their questions and issues and help get them resolved timely.
  • Ensure sales reps receive all information pertaining to collections, including sending out the impending lien reports weekly.
  • Call references when necessary to assist with credit applications processed smoothly.
  • Assist sales reps to get applications completed and submitted.
  • Review Invoices for accounts payable
  • Utilize filebound and assist vendors if they have questions with account payable items.
  • Mail payments
  • Assist Branch employees or guide them to subject matter expert such as HR team, safety, ADP, insurance, new hire paperwork etc.
  • Request and receive COIs from customers and send them on to corporate.
  • Close cash drawers
  • Monitor credits and disputes in salesforce.
  • Assist with answering phones.
  • Review and submit accrual report.
  • Review Aging daily and reconcile posted against aging.
  • Assist new employees with logging into ADP for their first time and completing their onboarding tasks.

Required Education and Experience

  • Commitment to excellent customer service
  • Ability to prioritize and manage multiple responsibilities.
  • Goal oriented with strong attention to detail.
  • Proficient with Microsoft Office and Excel
  • High School diploma
  • Working understanding of lien laws is a plus.
  • NACM certifications/designations are a plus.
  • Minimum 3 years of experience in business-to-business collections preferred.
    Florida Notary not required to be hired but will be necessary.

    Military service will be considered in lieu of education/certification experience as applicable.
