Job Description

Position Summary:

This position exists to provide administrative and operational support for Research, Outreach, and Economic Development. The Office Manager will independently manage administrative functions within a dynamic, collegial office environment. This position monitors a variety of complex budgets. The Office Manager works closely with the ROED Executive Director to ensure proper funds management and accounting. This position supports and protects the interests of the university, faculty, staff, and students in human subjects and animal subjects care and research through guidance, education, and technical assistance. This assistance is evidenced by the demonstrated proficiency and/or willingness to develop high level technical expertise in a broad range of research compliance areas.

For regularly assigned responsibilities: This person is fully responsible for ensuring tasks are performed accurately, completely, timely, and without direct supervision.

For non-routine assignments and special projects: The ROED Executive Director will provide cursory reviews of work performed, but this position is responsible for ensuring the data compiled and analyzed are accurate and tasks are performed correctly and completely.

Job Functions:

ROED Office Management (70%):
* Function as primary receptionist for ROED and provide direct administrative support to the ROED Executive Director as well as administrative support for nondegree programs, youth programs and camps, and conferences.
* Answer main office phone and provide excellent customer service, routing inquiries to the appropriate staff, answering questions when able and qualified, and handling all walk-in visitors and students.
* Provide IT initial troubleshooting and work with IT to manage IT resources as needed.
* Monitor and order office supplies as needed for the Office of Research and Sponsored Programs (ORSP) and order supplies for office and camp/nondegree programming as instructed by the Director of University Outreach
* Reconcile monthly budget statements and expenditures for ORSP and University Outreach.
* Verify monthly procurement card statements and distribute charges to other accounts as needed for ORSP and University Outreach.
* Process all payroll paperwork and enter time in IRIS for all ROED exempt/nonexempt staff members.
* Coordinate travel arrangements for ROED staff, including travel authorizations and expense reports.
* Monitor UT Martin record-keeping policies and manage file archiving or disposition for payroll files and general operational files.
* Provide planning and independently/collaboratively (as appropriate) handle logistics for a variety of ORSP campus events including workshops, trainings, conferences, etc.
* Manage and monitor internal grant awards, working with the PIs and Administrative Specialists for the administering departments.
* Work collaboratively with the Administrative Specialists and other administrators across campus, as needed.
* Independently manage any facilities or maintenance issues.

Compliance Administration (30%):
* Support ROED staff with educational training for IRB, IACUC, and financial management.
* Follow best practices for IRB applications, IACUC protocols, and associated recordkeeping.
* Coordinates and assists with annual and semi-annual reviews of animal teaching and research labs and farms
* Coordinates monthly meetings of IRB and IACUC (agenda, full review items, annual reviews, minutes, etc.)
* Prepares reports of applications, protocols, and reviews for filing.
* Corresponds with IRB and IACUC members regularly about questions that arise from researchers concerning human subject and animal research.
* Maintain regulatory documents for IACUC, IRB, responsible conduct of research, and biosafety.
* Attend and participate in related conferences for research ethics (human subject, animal use and care, responsible conduct in research).
